Utah Press Trip Policy

The Division's Media Relations staff helps travel journalists who are planning to visit Utah on assignment. Assistance includes story ideas, itinerary recommendations and contacts at destinations throughout the state.

The Division will pre-qualify print and broadcast journalists for participation on self-guided or escorted group media tours.

Journalists are advised to make their own arrangements for air travel and for a rental car (in some cases we can secure media rates for you). Before contacting us, please read the sections below.

Press Trip Requests
Please send written requests (via mail, fax, or e-mail) at least four weeks before your departure. Please include the following:

  • Assignment details on original letterhead, signed by your editor, publisher, assignment editor or news director.
    • If writing for print, include the name of the publication, how frequently it is published (daily, weekly or monthly), its circulation and the expected publication date of your article.
    • If working for a broadcast, include the name of the program, audience numbers and expected time and date of broadcast.
  • When you plan to visit and your proposed itinerary.
  • Your contact information.
  • The number of people traveling on assignment and their names. (We cannot accommodate a spouse or partner unless he/she is officially assigned to the same story and we cannot accommodate children on press trips).
  • The number of rooms requested (single or double, smoking or non-smoking).
  • Please let us know if a specific type of accommodation is critical to the story you're working on (i.e. bed-and-breakfast, resort hotel, lodge).
    • Please be aware that accommodations cannot always be secured at a complimentary or discounted media rate due to high season, holidays or conventions. In that case, you will have to pay the applicable lodging costs.
    • Please let us know if the lodging properties where you stay will be mentioned in the story or receive credit at the end of the broadcast.
  • Please let us know of any special requests or story angles.

Giving us as much information as possible will help expedite your request and help us assist you with your specific story needs. We can advise you on your itinerary, let you know what's new and suggest places to go and contacts to talk to.

Are You At Risk?
Take it easy during your first day or two at high altitude. Until your body adjusts to the elevation, you may become weary quickly and you may get headaches. High altitude and low humidity can also lead to dehydration, so make sure you drink plenty of water. Please be aware that Utah's higher altitudes and mountain terrain may increase the risk of injury or illness for anyone with heart or lung disease and for anyone in poor physical condition. Skiing, mountain biking and other outdoor adventure require higher levels of fitness and experience.

Are You Prepared?
If you're traveling off-the-beaten-track in Utah you will need equipment and gear suitable for rugged conditions. If you are improperly equipped, inexperienced or otherwise unprepared for Utah's unique climate and geography, you may not be qualified to participate on press trips.

Summer travel requires plenty of water, a hat, sunglasses, sunscreen, lip protection and good sport shoes with a tread that grips. Winter gear includes warm clothing, hat and gloves, suitable footwear, sunglasses or goggles, as well as sun protection.

Photography and Video Requirements
Fees, permits, restrictions and insurance requirements may apply to your visit to Utah's national parks and other federal and state public lands. You may incur fines or even confiscation of film and equipment by ignoring these policies. For information, please visit the Utah Film Commission website www.film.utah.org or contact the following:
